# How Do I Manage RSVPs and Event Attendees?

**RSVPs** make it easy for members to let you know whether they plan to attend your [Event](https://docs.mightynetworks.com/for-hosts/events-and-livestream/how-do-i-create-events-in-my-mighty-network).

As the Event Host, you can track responses, message attendees, restrict access to the Event Link, close RSVPs, and automate Event actions on eligible plans.

## Enabling Event RSVPs

To allow members to RSVP:

1. [**Create or edit an Event**](https://docs.mightynetworks.com/for-hosts/events-and-livestream/how-do-i-create-events-in-my-mighty-network).
2. Toggle **Enable RSVPs** on.

Members can choose **Going**, **Maybe**, or **Not Going**. They can also export the Event to their calendar and leave comments.

## Changing RSVPs

Members can update their RSVP until the Event begins.

* If the Event has started: Only members who selected **Maybe** can update their status to **Going** or **Not Going**, add the Event to their calendar, and comment.
* After the Event ends: they won’t be able to update their RSVP unless they selected "Maybe," in which case they can change to "Yes" or "No."

## If RSVPs Are Turned Off

Members will not see RSVP options, and no RSVP list will appear.

## Restricting Access to the Event Link

You can choose who can see your Event Link (the meeting URL):

* Toggle **Restrict Event Link** on to allow only members who RSVP **Going** to view the link.
* Members who RSVP **Maybe** will not see the link.
* If Restrict Event Link is off, anyone who can see the Event can access the link.

## Steps for Limiting Link Access

To ensure only confirmed attendees have access:

1. Turn on **Restrict Event Link**.
2. Keep the Event Link field empty until shortly before the Event.
3. Close RSVPs when you’re ready.
4. Add the Event Link.
5. Once the Event starts, members cannot RSVP **Going** to access the link.

## How to Close RSVPs

If you want to keep the current RSVP list as-is:

1. Edit the Event.
2. Toggle **Close RSVPs** on.

You can reopen RSVPs anytime by toggling it off.

## How to Message Event Attendees

**Note:** Members who RSVP **Going** or **Maybe** receive automatic reminders—10 minutes before online Events and 24 hours before local Events.

To message attendees:

1. Open the Event.
2. Click the **three-dot menu** in the top right corner.
3. Select **Send Message**.
4. Choose your audience:
   * Going
   * Maybe
   * Not Going
   * No RSVPs
5. Write your message and click **Send Message**.

## What Members See

Members receive a notification:“\[Host Name] sent you a message about \[Event Name].”

They can reply via private chat or click **See Event** to open the Event page.

## Automating RSVP Actions

On the [**Scale Plan**](https://docs.mightynetworks.com/for-hosts/meet-mighty/whats-included-in-the-mighty-networks-business-plan) and above [**Event Automations**](https://docs.mightynetworks.com/for-hosts/automations/how-can-i-set-up-automations-in-my-mighty-network) can help you manage RSVP-based actions without manual updates.

## RSVP Triggers

* [**RSVP to Event:**](https://docs.mightynetworks.com/for-hosts/automations/how-can-i-set-up-automations-in-my-mighty-network#:~:text=RSVPed%20to%20Event,for%20this%20Trigger) Trigger an action when a member selects a specific RSVP status.
* [**Event Reached Number of RSVPs:**](https://docs.mightynetworks.com/for-hosts/automations/how-can-i-set-up-automations-in-my-mighty-network#:~:text=for%20this%20Trigger-,Event%20Reached%20Number%20of%20RSVPs,-Occurs%20when%20RSVPs) Trigger an action when RSVPs reach a certain count (greater than, equal to, or less than your chosen number). This trigger fires only once per Event.

## Automatable Actions

* [**Close Event RSVPs:**](https://docs.mightynetworks.com/for-hosts/automations/how-can-i-set-up-automations-in-my-mighty-network#:~:text=their%20billing%20cycle.-,Close%20Event%20RSVPs,-Disables%20the%20ability) Stops new RSVPs automatically.
  * *Suggested setup:* Use “Event Reached Number of RSVPs” → **Close Event RSVPs** to cap attendance.
* [**Open RSVPs for Event:**](https://docs.mightynetworks.com/for-hosts/automations/how-can-i-set-up-automations-in-my-mighty-network#:~:text=Open%20RSVPs%20for%20Event) Reopens RSVPs.

## Notes for Recurring Events

* Automations apply to one-time Events or the **Series** for recurring Events.
* If a member RSVPs to a Series, the automation applies to the whole Series—not individual Event instances.

## Downloading Event RSVPs

To download the RSVP list:

1. Open the Event or the RSVP page.
2. Click the **three-dot menu**.
3. Select **Download RSVPs**.

You’ll receive an email with a link to download a CSV file.
